AI Use Policy for Committee Members and other RGD volunteers
Artificial intelligence tools are increasingly part of how the world works, and the RGD recognizes their potential to support volunteers in their contributions. However, to protect the integrity of the RGD's voice and the quality of its output, the following guidelines apply to all committee work:
- Disclose your use of AI. If AI tools were used in the preparation of any materials, recommendations or communications, please note this when presenting your work to the committee. Be sure to disclose:
- What AI tool/platform was used
- In what stage of creation AI was used (e.g., ideation/research, concepting, execution, etc)
- How AI was used, including the primary prompt, and the extent of how the results were reviewed or modified by a human.
- Human judgment is required. AI-generated content must be meaningfully reviewed, edited, and shaped by a human contributor before it is considered committee work. Unedited AI output does not meet this standard.
- Nothing entirely AI-generated should be published or distributed under the RGD name. All external-facing content must reflect genuine human thought, expertise, and editorial oversight.
- Data privacy. Do not input any protected or confidential data relating to the RGD or their work into AI tools without first conducting thorough risk assessments or checking with a member of staff. Below is a sample of risk levels, but is not an exhaustive list:
- Low risk (proceed with caution):
- generating a draft email inviting external candidates to apply for speaking opportunities
- copyediting a draft document that will go through additional reviews and approvals by committee members
- ideating themes for events or talks
- Medium risk (clear it with your committee chair before use):
- research (check validity of sources or potential data biases)
- accessibility audits
- High risk (do not proceed):
- summarizing or interpreting financial data
- generating reports using source material that contains names and contact details for individuals without their prior knowledge/consent
The RGD's credibility is built on the knowledge and professionalism of its Members. AI can be a useful tool, but it should support our contributors—not replace them.
Where possible, consider the environmental impacts when choosing to use AI—Generative AI tools aren’t the best choice in every situation.
