The UBC Faculty of Arts Visual Identity System (VIS) Guidelines aim to communicate the value and importance of using the VIS to internal colleagues and partners. By demonstrating the thought behind the system and the flexibility it allows, the document encourages staff and faculty to use pre-built templates and resources instead of creating their own designed materials. Given that brand resources are regularly updated, it was crucial that this document be easily modifiable to ensure partners would always have the most up-to-date version. With no budget for web development, Figma’s interactive prototype feature was leveraged, which allowed for the creation of a document that looked and behaved as desired. It also enabled the sharing of a document via a single URL, providing flexibility for regular updates and versioning. Since launching the VIS guidelines document, the Arts Templates and Resources page on the internal resource site remains the top viewed page in quarterly analytics reports. The document has become an integral part of the onboarding process for new communications staff, and has been successful in improving communication practices and visual identity coherence within the organization.
